People Experience Associate

Employment Type: [Not Specified] Location Type: [Not Specified] Salary: [Not Specified]

Position Overview

The Wikimedia Foundation is seeking a People Experience Associate to join the People Department. We believe that our people are our most important asset, and the policy and practice work of our People department is critical to identifying, supporting, developing, and retaining excellent colleagues who advance the Foundation’s mission. In this role, you will work in partnership with People Department colleagues and Employer of Records (EOR) to provide seamless, accurate and timely support to staff working outside of the United States. The right individual will be customer service focused, analytical with a keen eye for detail and process oriented.

Responsibilities

  • Serve as a point of contact and liaison between the Foundation and the EOR for staff-related matters outside of the US. Collaborate with the EOR throughout the staff lifecycle - onboard and offboard, employment changes, payroll processing, benefits administration, etc.
  • Review, respond and resolve staff inquiries or issues, independently prioritizing those tasks based on timing and urgency of the request to ensure completion. Escalate any items that may need to be addressed by the EOR and/or management.
  • Accurate and timely review and processing of staff changes to ensure that all systems and records are updated appropriately, including those managed by the EORs. This may include but is not limited to: line manager changes, employee promotions, salary increases, benefit changes, tax changes, address changes, etc.
  • Review monthly invoicing, conducting thorough audits, researching and resolving any discrepancies prior to sending invoices for final approval before deadline. This includes collaborating with the EOR and finance on process, queries and/or changes.
  • Provide support on additional projects as assigned.

Skills and Experience

  • 2 years of experience in human resources or a related field.
  • Bachelor's degree or equivalent experience in a related field.
  • Strong ethics and integrity, with the ability to maintain confidentiality.
  • Excellent communication and interpersonal skills.
  • Highly organized and detail-oriented.
  • Ability to manage multiple tasks and prioritize effectively.
  • Analytical mindset with strong Excel and/or Google Sheets skills - independently create/modify pivot tables and formulas (e.g., VLOOKUP, IF/THEN statements, etc.).
  • Experience maintaining and updating data in an HR or other related system.
  • Ability to adhere to HR best practices to ensure compliance with Wikimedia policies and local laws.

Additionally, We'd Love It If You Have:

  • Experience working with EORs or similar global employment solutions.
  • Experience reviewing and auditing large data sets such as invoices or payroll.
  • Experience in a fully distributed or remote work environment.
  • Curious mindset - eager to learn, improve, and not afraid to challenge assumptions.
