Responsibilities

  • Assist President, HR, and other management with daily administrative needs
  • Obtain and distribute mail to appropriate departments
  • Track and purchase necessary supplies, with monthly reviews by management
  • Track and process contractor qualification statements and assemble qualification packets
  • Prepare and send FedEx packages as needed by management or employees
  • Address printer issues and schedule maintenance
  • Refill postage meter with funds and ink
  • Schedule and facilitate work-related events (luncheons, meetings, etc.)
  • Prepare workspaces for new hires and ensure equipment is logged in
  • Complete offboarding checklists for employee exits and manage equipment returns
  • Organize and schedule weekly job updates; take meeting minutes
  • Maintain an organized storage room and stocked supplies
  • Address any additional requests or needs from employees
  • Manage conference room calendar
  • Manage company vehicle insurance and add/remove drivers
  • Enter work orders or advise property management of vehicle issues
  • Schedule employee training
  • Register the company for conferences
  • Collect information, proof, and publish the company newsletter monthly
  • Greet people as they arrive at the front desk
  • Perform other duties as assigned
