Requirements

  • Minimum of 3 years of experience in office administration or office/services coordination
  • Excellent customer service skills and communication/interpersonal skills
  • Strong verbal communication and organization skills
  • Able to juggle multiple tasks with efficiency and accuracy
  • Self-starter with positive, can-do attitude
  • Ability to adjust to changing environments
  • Intermediate to advanced knowledge of MS Office (Word, Excel, PPT) and general computer skills; adapts quickly to new technology
  • Ability to lift up to 25 lbs

Responsibilities

  • Demonstrate excellent customer service to guests and Veeva employees concerning office-related requests
  • Provide the first impression to clients, partners, potential employees, and Veevans; act as an ambassador for the company
  • Vendor coordination - ability to work with multiple vendors
  • Inventory management, planning, ordering supplies, budget tracking and reports
  • Daily operations - facilities and building maintenance requests, security access key cards, mail/shipping
  • Coordinate special events; planning and execution of team building, networking, and social events
  • Project coordination, tracking and execution
  • Work closely with the Workplace and Facilities Manager on projects and daily operations
