Requirements

4–6+ years in office management, workplace experience, or administrative support — ideally in a startup or fast-paced environment. Event planning experience a plus
Proven ability to run operations smoothly while building engaging culture programs
Strong organizational and time-management skills; able to manage competing priorities and sensitive/confidential information
Exceptional attention to detail with a track record of precision in tasks and processes
Excellent verbal and written communication skills, with the ability to collaborate effectively across teams
A proactive and resourceful mindset, with a knack for identifying and resolving operational issues
On-site five days per week

Responsibilities

Oversee day-to-day operations of the office (facilities, supplies, space planning, seating charts, equipment)
Manage relationships with building management and external vendors (cleaning, security, catering)
Oversee and collaborate with the Office Coordinator to ensure the NY office operates smoothly and efficiently
Ensure workplace safety, compliance, and emergency preparedness
Create a welcoming and productive environment for employees, visitors, and partners
Manage front-of-house operations: reception, guest check-ins, and visitor flow
Plan and execute team events, celebrations, swag, and engagement programs that foster connection across NY and SF offices
Organize culture-building initiatives that reinforce Distyl’s values and ways of working
Support internal communications and feedback loops to continuously improve the workplace experience
Oversee employee services programs (perks, food, wellness initiatives)
Assist with planning and logistics for team offsites and cross-functional projects
Deliver a smooth onboarding experience for new hires across NY and SF, including Day 1 logistics, scheduling, and in-person support
Coordinate onboarding communications, account setup, and monthly onboarding cohorts
Own office budget for supplies, food, events, and vendor contracts
Negotiate with vendors for cost savings and quality
