  • Upper business level Japanese language skills (essential for communication with Japanese event organizers and vendors)

  • Understanding and experience delivering B2B Conferences, trade shows, networking events, and speaking engagements
  • Experience working on a global level with understanding of regional nuances and budgets
  • Based out of Japan office (onsite, full-time)

Responsibilities

  • Venue searches in all locations, including negotiating venue hire charges, food and beverage costs, and other associated event items
  • Vendor sourcing, comparing costs, and negotiating hire charges for event equipment and services (booth production, AV companies, event rentals, video/photography, merchandise producers)
  • Updating event budgets regularly with costs in the correct currency
  • Researching best hotels and prices for staff, and booking hotel blocks with venue/hotel agency (Helsmsbriscoe)
  • Setting up new events on Xsolla events page (adding copy, venue info, event logos)
  • Setting up and managing networking events on Splash platform (adding copy, graphics, building registration form, creating/testing email templates)
  • Working with Integrated Marketing Manager to create/plan email marketing campaigns (drafting copy, adding event info/logos, drafting messaging, requesting graphics)
  • Working with Social Media Manager to create/plan social media campaigns (drafting copy, adding event info/logos, drafting messaging, requesting graphics)
  • Liaising with event organizers to research new events, review sponsorship options, confirm packages, and handle planning/delivery of deliverables
  • Coordinating speaking sessions with Business Development, Product, and Creative teams (preparing/reviewing/approving content)
  • Regularly updating event roadmap tracker with sponsor info, dates, and links
  • Placing Jira ticket requests with in-house Creative team (detailed briefs with deadlines)
  • Assisting with event research, logistics planning, administration, and onsite delivery for regional events in Japan and APAC
  • Implementing deliverables of sponsorship packages at partnered events
  • Sourcing international venues and vendors, obtaining quotes for booth build, production, branding, swag, and merchandise
