Responsibilities

  • Take full ownership of the office and reception area, including serving as the first point of contact for visitors and guests, managing incoming and outgoing mail and deliveries, and ensuring the office and meeting rooms are neat, inviting, and prepared for use
  • Manage daily office operations, including ordering office supplies, managing weekly grocery orders, handling expenses, budgets, and invoice approvals, and providing input to CD for forecasting costs such as IT and office space
  • Act as a daily resource for the team and the face of P&C in the local office, coordinating lunch orders, managing parts of employee on and off-boarding (e.g., gathering documents for payroll, setting up laptops), handling phone orders and subscriptions, and updating office guidelines in the Employee Handbook
  • Plan and execute company events and celebrations, including Shareback volunteering, summer and end-of-year parties, staff gifts for milestones, supporting TGTG visitors, organizing local and global Townhall viewings, and working with the DEI Taskforce on local DEI activities
  • Serve as the primary contact for office-related agreements and services, liaising with the landlord, maintenance, and service providers to ensure facilities are well-maintained and access is managed for staff
  • Actively search for and implement ways to make the office more sustainable and contribute to process improvements
