Requirements

  • A fast learner, with the ability to think outside the box and get things done with minimal supervision
  • At least 2 years of experience in an administrative role
  • A proactive mindset and positive attitude
  • Fluency in English essential, with Arabic an advantage
  • Excellent communicator
  • Proficient user of G-Suite
  • Must have UAE passport & Family book (Khulasat Al Qaid)

Responsibilities

  • Develop an engaging events calendar (birthdays, team events, end of year parties, sports competitions etc)
  • File and manage agreements with third-party suppliers (office lease, cleaning, facilities etc) to provide seamless service levels
  • Assisting management team calendars
  • Working with Procurement Hub for processing regional Purchase Orders and Invoices
  • Ordering and monitoring stock levels (stationary, drinks, snacks, office equipment etc)
  • Manage petty cash, including end of month summary and facilities budget management
  • Office checks ensuring the workplace is clean, secure and well maintained and following up on issues
  • Maintain asset register of all office furniture
  • Any other tasks as directed by Line Manager to support facilities team including onboarding kit preparations, access card issuance/monitoring and supporting people team when needed
