Position Overview

The Support Services Specialist lends operational support to Catalight Care Services in managing its network of sub-contracted providers. This role is responsible for actively supporting the administration of coordinated care, providing critical communications, managing report submissions, documenting transitions in client care, and ensuring client and provider records are accurate and current. Serving as a liaison between Catalight Care Services, individual providers, and client funding sources, the Support Services Specialist ensures that each client receives the highest quality of services across the entire care cycle.

Core Responsibilities & Essential Job Functions

  • Proactively communicates and practices Catalight Care Services' belief in the provision of high-quality services by providing excellent operational support of service delivery to clients.
  • Tracks the administration and documentation of services throughout the client's care-cycle, from referral for treatment through discharge from services.
  • In collaboration with other Catalight Care Service departments, maintains accurate client records at all times and shares client information as needed, according to HIPAA regulations and organizational procedures.
  • Responsible for correcting discrepancies and appropriately escalating issues within the client record, including delays in report submissions and authorizations that could result in disruptions in services for clients.
  • Attends team meetings, training, and other meetings as required and requested.
  • Communicates with external partners on issues or tasks related to authorization management.
  • Assists clients with authorization-related inquiries and documents, as appropriate.
  • Obtains, reviews, and inputs insurance policies, authorizations, and referral inquiries throughout client services.
  • Responsible for completing additional projects and duties as assigned by Supervisor.

Qualifications

Minimum Education, Experience & Training Equivalent to:

  • 1+ year of cross-functional experience in both technical and non-technical (i.e., people and process) support services.
  • High school degree or GED preferred.

Knowledge & Skills:

  • Sensitivity to working with an ethnically, linguistically, culturally, and economically diverse population.
  • A commitment to the values of the organization while demonstrating good judgment, flexibility, patience, and discretion when dealing with confidential and sensitive matters.
  • Skilled in developing and managing positive working relationships with other departments.
  • Proficiency in using Atlassian, JIRA, and Salesforce.
  • Proficient in Microsoft Office (Outlook, Word, Excel, etc.).
  • Excellent verbal and writing communication skills; frequent proofreading and checking documents for accuracy.
  • Consistently demonstrate good judgment and decision-making skills while maintaining the highest level of confidentiality.
  • Must be detail-oriented.
  • Strong interpersonal skills.

Physical Requirements:

  • Must be able to communicate effectively within the work environment, read and write using the primary language of the workplace.
  • Visual and auditory ability to work with clients, staff, and others in the workplace continuously.
  • Frequent speaking and listening (25-75%) to clients, staff, and others in the workplace.
  • Utilize computer and cell phone for effective communication.
  • Ability to utilize virtual meetings software (Zoom, Teams, etc.).

Conditions of Employment

  • Ability to obtain and maintain criminal record clearance through the Department of Justice (DOJ). The People & Performance Department must analyze DOJ/FBI live scan reports in accordance with applicable Federal, State, and Local laws, as well as fitness for the position.
  • Ability to obtain and maintain clearance through the Office of Inspector General.
  • Must attend all required training.
