We are searching for a highly organized and detail-oriented Operations Administrator to keep our studio running smoothly behind the scenes. This role is critical to ensuring the efficient daily operations of our fast-paced AI technology company. You will own the day-to-day of office management (virtually), light bookkeeping, and payroll. You will support the team, enabling them to stay focused on building and launching exceptional games. This position serves as the connection between functions, ensuring everything from vendor payments to onboarding logistics is handled with precision and care.

What You’ll Do
- Process accurate and timely payroll, including verifying records, managing employee data, and addressing inquiries.
- Maintain precise financial records, process invoices, track payments, and reconcile accounts.
- Assist with expense reimbursements and contribute to month-end and year-end closing processes.
- Offer comprehensive administrative assistance to the management team, including scheduling and presentation preparation.
- Prepare and proofread essential documents, memos, and reports.
- Help develop and maintain policies and procedures to enhance overall efficiency.
- Oversee internal databases and systems, ensuring data accuracy and accessibility.
- Ensure effective communication flows within the team and across departments.
- Contribute to various operational projects and initiatives.
- Ensure all payroll and financial activities adhere to relevant regulations and company policies.
- Occasional assistance with tax reporting or legal inquiries.
The Ideal You
- You bring a minimum of 3-4 years of proven experience in administrative or operations roles, with direct exposure to payroll and bookkeeping functions.
- You are proficient in payroll processing software such as ADP, Gusto, Sequoia One, or similar software.
- You have experience with expense management platforms like Bill.com, Ramp, Brex, or similar software.
- You have experience with accounting software QuickBooks Online, Xero, or similar software.
- You possess advanced proficiency in Google Workspace (Sheets, Docs, Slides) and Microsoft Office Suite (Excel, Word, PowerPoint).
- You are familiar with remote collaboration tools such as Jira, Slack, Zoom, Asana, Bamboo, Remote.com and/or Sequoia One.
- You use AI and no-code tools like Zapier to automate workflows, reduce manual work, and continuously improve operational efficiency.
- You demonstrate exceptional attention to detail and accuracy in all tasks.
- You possess strong organizational and time management skills, with the ability to prioritize effectively.
- You have excellent written and verbal communication skills.
- You are proven in your ability to work independently and collaboratively in a remote team environment.
- You approach challenges with a problem-solving mindset, identifying issues and proposing effective solutions.
- You maintain a high level of integrity and discretion when handling confidential information.
