Requirements

  • Based in Berlin
  • Proactive approach to operational standards, safety, communication, and cost management
  • Ability to attend MBR/QBR meetings and review performance metrics (e.g., footfall, ticket completion, budget vs spend)
  • Knowledge of PPM planners, legal compliance, document management policies, and corrective actions
  • Experience with Salesforce for ticket management and SLAs
  • Skills in vendor and landlord communication, including CAM charges review and escalation
  • Ability to support Community Team with vendor management, feedback processes, and NPS improvement
  • Structured and supportive communication skills for responding to requests
  • Experience in budgeting, forecasting, OPEX/CAPEX management, P&L reviews, purchase orders, change orders, and invoice approvals
  • Knowledge of compliance, operational audits, H&S (Health & Safety), FRA audits, fire drills, life safety systems, and working with consultants (lift, fire)

Responsibilities

  • Vendor and landlord management: Attend MBR/QBR meetings, review performance/footfall/tickets/budget, manage PPM planners and legal compliance, support service contracts/SLAs, own Salesforce tickets within SLAs, communicate changes to vendors, manage property/landlord communications/CAM charges
  • Community Support & Communication: Support Community Team with 3rd party vendors for building standards/feedback, improve NPS and recovery plans, provide first-class support/responses, ensure clear communication on projects, collaborate on resolving trending issues
  • Finance: Collaborate on CAPEX budgeting/forecasting, manage/control OPEX budgets, provide monthly spend vs budget/P&L reviews, forecast OPEX costs, manage vendor costs/supplies, raise POs/change orders/invoice approvals
  • Compliance: Conduct 2-3 operational audits per building annually and own actions, drive H&S compliance with territory manager, develop in H&S, plan/attend/own FRA/H&S audits/fire drills, check contractor reports for life safety systems, work with lift/fire consultants on compliance/maintenance/performance
