Position Overview

The Operations department comprises a team of professionals committed to safety and security for the public, employees, contractors, assets, and the environment. We strive for consistent, predictable operations performed correctly every time. Plains is seeking an Administrative Assistant for its Fort Saskatchewan facility (PFS). This role is within the NGL Operations West district, reporting to the Plant Manager. The successful candidate will provide high-caliber administrative assistance to facility staff, area supervisors, and the director, and will serve as a key liaison with other district offices and the Calgary corporate office.

The successful candidate will be eligible for company benefits, including medical, dental, and vision coverage, RRSP matching, and a 9/80 schedule from their first day of employment.

Responsibilities

  • Provide general reception and administrative services, including responding to visitors and managing the switchboard.
  • Assist all visitors and contractors with required orientations and issue/audit security badges.
  • Coordinate with Contractor Safety personnel regarding ISNetworld compliance.
  • Oversee Senior Management site visits and on-site requirements, such as workspace and PPE.
  • Prepare, create, and distribute various reports using Microsoft Office tools.
  • Create meeting agendas, minutes, and action trackers, and follow up on actions to completion.
  • Provide comprehensive administrative support, including updating phone lists, ordering stationery and office supplies, maintaining photocopiers, distributing mail, managing email distribution lists and meeting room calendars, completing expense reports, and filing ATW permits.
  • Assist and coordinate with HSE and PSM personnel on exercises, emergency responses, and meetings as required.
  • Maintain employee training records and coordinate employee training.
  • Provide confidential and administrative support to the manager and Area Management Team (AMT).
  • Maintain district SharePoint site indexes and files.
  • Execute document control and records management, ensuring the integrity of associated systems.
  • Complete Terminal Boss updates as required.
  • Arrange ad hoc functions as required.
