Recruiting Coordinator (Contract)

Position Overview

Our People Ops team is responsible for global recruitment to help Grafana Labs meet our growth plans, maintain our culture, and ensure Grafana Labs remains an awesome place to work long-term. As a Recruiting Coordinator, you will be a dynamic and integral part of our team, providing administrative support to the Recruiting team while also supporting global recruitment efforts, processes, and the overall candidate experience. This is an opportunity to support a high-growth organization and gain visibility into the recruitment process for an international startup. This high-impact role will be the face of Grafana to prospective and current employees.

Responsibilities

• Support GTM functions in EMEA (Sales and Solutions Engineering).
• Act as the first point of contact for all external candidates, striving to deliver a first-class candidate experience against KPIs.
• Build and foster strong relationships with hiring managers and teams, providing excellent customer service and becoming a trusted point of contact locally and internationally.
• Maintain the accuracy and completeness of our Applicant Tracking System (ATS), Greenhouse, to support process reporting.
• Ensure internal hiring teams adhere to the recruitment process, delivering interview feedback and next steps against agreed Service Level Agreements (SLAs).
• Schedule global interviews, effectively managing multiple time zones.
• Contribute to People Ops Recruitment projects, such as developing hiring manager recruitment training, reviewing policies and processes, researching candidate pipelining, and optimizing online job site presence (LinkedIn, Glassdoor, etc.).
• Provide general administrative support to the People Ops team, including holiday/absence cover.
• Help define processes and structures where they are lacking, demonstrating creativity in solving non-obvious problems.
• Partner with People Operations, understanding the importance of handling and protecting sensitive and confidential company and employee information.

Requirements

• 2+ years of previous coordination experience in a fast-paced technology company.
• Proven experience with high-volume scheduling.
• Exceptional organizational and project management skills.
• Detail-oriented with the ability to multitask effectively and ensure strong follow-through.
• Prior experience working with Greenhouse and Workday is preferred. Experience with an automation tool (e.g., Guide) is a plus.
• Ability to work independently and remotely, utilizing initiative and creative problem-solving skills to manage decision-making autonomously.
• Excellent communication skills across all channels (in-person, online, written) and the ability to build strong working relationships both in-person and virtually.
