Requirements

Degree in medical or office administration (a plus)
2+ years’ experience in a reception, administration, clerical, or similar role
Experience with Medical Practices Software (e.g., Best Practice, Pracsoft, Practice Hub)
Experience with Medical Accounting and Clinical Software (e.g., Mediflex)
Competency with MS Office Suite
Excellent spoken and written English language skills
Outstanding communication and customer service skills
The ability to identify and deal with issues proactively
Attention to detail, efficiency, and reliability
Discipline to follow directives/policy through to completion

Responsibilities

Effectively communicate with patients via phone, email, and virtual platforms. Schedule appointments, handle inquiries, and provide necessary information to patients in a courteous and empathetic manner
Coordinate and manage patient appointments, ensuring accurate scheduling and efficient utilization of clinic resources
Maintain accurate and up-to-date patient records and appointment schedules in the clinic's practice management software
Prepare and process necessary medical forms, insurance claims, and other documentation to support the clinic's operations and compliance requirements
Assist patients with billing inquiries, process payments, and work closely with the billing department to ensure accurate financial transactions
Facilitate virtual appointments by assisting patients with technical setup, troubleshooting, and ensuring a smooth telehealth experience
Collaborate with the clinic's medical and administrative teams to ensure seamless patient care, accurate information flow, and efficient operations
Adhere to strict patient privacy regulations (APP or HIPAA) and maintain the confidentiality of patient information
