Requirements

Bachelor’s degree in Art History or a related field
Previous experience at a gallery, museum, or comparable arts organisation
Demonstrated familiarity with and interest in contemporary art and the gallery’s programme
Highly personable, proactive, motivated, and detail-oriented
Strong written and verbal communication skills
Experience with data entry
A detail-oriented, take-ownership approach, self-organisation, and the ability to manage multiple concurrent tasks and projects
A positive and helpful attitude
Passionate and interested in the arts/larger creative arena or eager to learn (ideal: previous experience and background in the commercial art world)
Eligibility to work in the UK
Availability for 5 days a week, Tuesday to Saturday, 9:45am to 6:00pm, with occasional additional hours for events and openings

Responsibilities

Greeting visitors with professionalism and warmth, and interfacing with the public
Fielding and directing incoming phone calls
Ensuring that front desk materials are always up to date and immaculately presented
Managing various gallery and staff calendars
Managing the shipping and receiving of gallery mail and packages
Maintaining general office and kitchen supply inventories
Maintaining the pristine appearance of the front desk area and the built-in book displays, while keeping exhibition materials stocked and orderly
Assisting with contact database maintenance, exhibition preparation, vinyl production, and additional projects as needed
Providing general administrative support for all departments
Overseeing the general London mailbox and managing online sales enquiries, promptly directing queries to the relevant teams
Assisting in the coordination of gallery events, including private views, talks, tours and receptions
Conducting venue research and booking reservations
Assisting with invitations and managing guest lists in tandem with the sales team
Managing RSVP lists, seating plans and guest check-in
Assisting in the management of the front desk bookshelf and books inventory
Selling books, as well as updating and managing sales databases
Presenting new titles and exhibition-related books in the staff meeting
Assisting the Managing Director of DZ Books with research, drafting presentations, calendar management, booking travel, expenses etc
Coordinating David Zwirner Books events
