Responsibilities

  • Maintain the Front Desk operation during daytime hours as the go-to location for lodging guests requiring assistance
  • Perform guest check-in and check-out
  • Provide exemplary guest service and respond to all guest service requests
  • Answer all incoming PBX calls and make new or alter reservations as required
  • Use the HotSOS work order system to log all owner/guest requests and complete them or dispatch to appropriate team members
  • Act as a coordinator and communications liaison with owners, guests, resort security, resort senior management, and emergency services depending on the situation
  • Perform detailed QA on same-day and next-day arrivals to identify and mitigate potential guest or homeowner service issues, rectify problems with outstanding balances, soft blocked rooms, out-of-order rooms, and/or oversell situations
  • Perform daily “bucket checks” to ensure filing of all registration cards accurately matches updates in the property management system
  • Complete all “whoses” from the day, creating new guest tiles and inputting appropriate data when new guest information is captured
  • Communicate with the housekeeping department regarding special requests, early check-ins, and room moves
  • Assemble pre-registration packages and any other special arrival packages, including accurate encoding of room keys
  • Record all requests in HotSOS and ensure each is handled in a timely manner
  • Help organize transportation: scheduling, Amtrak requests, and act as a liaison between guests and drivers
  • Reconcile petty cash/change box daily
  • Contact and work with IT and SMS-Host support to rectify any issues preventing the Front Desk from operating correctly
  • Follow all established Front Desk procedures while continuously seeking new ways to improve the current process
  • Stay current with lodging and general resort and local area information to provide accurate information and/or assistance
