Candidates must possess at least 3 years of experience in an executive assistant, operations, or administrative role. Familiarity with CRM systems, investor portals, or property management software like Appfolio, Yardi, or Buildium is a plus. Proficiency in tech platforms such as Notion, Discord, Google Workspace, and project management tools is required. A background in private equity, real estate, or investment management is preferred, along with excellent written and verbal communication skills. Bilingualism in English and Chinese is a preferred but not required qualification.
The Executive Assistant will manage complex calendars, prioritize high-impact meetings, attend select meetings, take notes, and ensure follow-ups are tracked. They will coordinate travel, events, and investor-related logistics, acting as a liaison between departments and senior leadership, and drafting/filtering executive-level communications. Responsibilities also include supporting investor onboarding by coordinating documents and system setup, tracking investor records and distributions, and ensuring timely responses to investor inquiries. The role involves assisting in drafting and distributing investor updates and reports, maintaining Notion task boards and internal trackers, coordinating cross-departmental follow-ups, and assisting with the planning and implementation of SOPs, KPIs, and internal projects. Light operational support to property management, such as coordinating vendor schedules and lease tracking, may also be required.
