The Executive Assistant should possess at least 3 years of prior administrative or executive assistant experience supporting a senior-level executive, demonstrating exceptional organizational skills, a detail-oriented approach, and the ability to adapt to a fast-paced environment. They must be able to handle confidential information with discretion, communicate effectively both verbally and in writing, and possess strong interpersonal and phone skills. Experience with music and video platforms, as well as proficiency in various technology programs, including PC and Mac, iPad, iPhone, Amazon, and Google products, is preferred. Familiarity with Luminate and similar music reporting systems is also beneficial.
The Executive Assistant will provide high-level administrative support to the executive, including coordinating meetings, managing calendars, arranging travel, and serving as a liaison between the executive and internal staff. They will prepare expense reports, juggle a changing schedule, make quick decisions, organize label-wide meetings, gather research for meetings and presentations, anticipate the executive's needs, disseminate information, maintain reports, coordinate ticket requests, and manage staff vacation requests. Additionally, the Executive Assistant will handle miscellaneous projects and tasks as assigned, including label presentations and decks, and maintain an accurate list of contacts. They will also stay up-to-date on music business news and company initiatives.
