Job Description

The Linux Foundation Events team is seeking a highly organized and results-driven Event Planner to support the production of global events for the Cloud Native Computing Foundation (CNCF) community. This role will manage a diverse portfolio of events, from small virtual gatherings to large international tech conferences with over 12,000 attendees. Our events span North America, Europe, and Asia (India, Japan, and China) and involve intricate technical production, complex venue management, and numerous co-located events.

Reporting to an Event Manager, this position will be responsible for the end-to-end production and delivery of assigned events, as well as contributing to shared deliverables for larger-scale events.

What You Will Work On:

• Event Planning & Execution: Plan, manage, and successfully deliver B2B conferences and events (in-person, virtual, and hybrid) both independently and as part of a team.
• Venue Logistics: Lead the planning and execution of all venue-related logistics, including room setup, AV placement, power drops, internet requirements, and on-site production equipment. Collaborate with production partners for events up to 12,000+ attendees, featuring 300+ speakers, 20+ breakout rooms, and 300+ sponsors.
• Food & Beverage: Coordinate all aspects of food and beverage, considering cultural and dietary needs, regional cuisines, and volume-based planning.
• Event Operations: Manage event logistics such as space planning, staging, staff schedules, attendee communications, branding/environmental design, and health/safety protocols.
• Project Management: Create and maintain timelines, to-do lists, documentation, and planning processes for assigned events.
• Collaboration: Work closely with teammates, vendors, sponsors, speakers, and community members to ensure seamless delivery and meticulous attention to detail.
• Content Support: Assist in the creation and proofreading of event materials, including website content, signage, and attendee/sponsor communications.
• Customer Support: Provide proactive and solution-oriented customer support to attendees and event participants.
• Vendor & Team Partnership: Act as a collaborative and trusted partner to vendors and internal teams, demonstrating strong negotiation skills and a proven ability to manage budgets effectively.
• On-site Support: Travel domestically and internationally to support on-site event execution, up to 30% of the time.

Qualifications

Who We Are Looking For:

• Experience: 6+ years of B2B event management experience, preferably within the tech or open-source sectors.
• Large-Scale Logistics: Deep experience managing complex venue logistics for events exceeding 10,000 attendees, including managing multiple simultaneous sessions.
• Technical Understanding: Demonstrated understanding of AV, production, internet, and power requirements for technical conferences in both hotel and convention center settings.
• F&B Expertise: Knowledge of large-scale food and beverage planning, including sensitivity to dietary and cultural requirements.
• Organizational Skills: Extremely detail-oriented, highly organized, and driven by deadlines.
• Communication Skills: Effective communicator, known for being concise and clear.
