EMEA Event Coordinator (Maternity Cover)

Position Overview

We are seeking an organized and proactive EMEA Event Coordinator to support our regional event initiatives during a team member's maternity leave. This role involves close collaboration with the Head of Global Events (based in Paris, France) and is crucial for the successful execution of marketing events across France, the UK, and Germany. This position is ideal for an individual who excels in logistics and event project management, possesses strong multitasking abilities, and is comfortable with both on-the-ground event execution and pre/post-event coordination.

Responsibilities

Within 1 month, you will:

  • Review your event portfolio to begin organizing the retro-planning of owned events.
  • Coordinate and execute all logistical aspects of in-person and virtual events, including:
    • Venue and platform booking
    • Catering arrangements
    • Supplier negotiation
    • Swag production and shipping
    • Signage
  • Handle vendor communications and ensure service-level expectations are met.
  • Manage timelines and budgets, ensuring all event elements are delivered on time and within scope.
  • Travel to onsite events across EMEA when necessary (travel expenses covered), including Paris, London, and Germany.

Within 3 months, you will:

  • Support the lead generation process by capturing attendee data and coordinating follow-up campaigns with marketing and sales operations.
  • Oversee event registrations, tools, and platforms, ensuring a smooth attendee experience from invitation to post-event feedback.
  • Maintain internal documentation and reporting, including event calendars, run-of-shows, and post-mortems.
  • Work cross-functionally with marketing, sales, and local teams to align event goals and messaging.

Requirements

  • Proven experience in marketing event coordination or marketing project management.
  • Strong organizational skills with a sharp eye for detail and a problem-solving mindset.
  • Ability to work independently and manage multiple priorities across countries and time zones.
  • Comfortable using marketing tools and platforms (event platforms, CRM, registration systems, etc.).
  • Fluent English (US/UK).
  • B2 level or equivalent French.
  • Proficiency in German is a plus.
