Requirements

  • Familiarity with all customer contracts and ability to review orders against contract terms or applicable quotes

Responsibilities

  • Review and enter purchase orders into the ERP system ensuring alignment with established contracts
  • Manage customer-contract data from execution to extension and through termination
  • Verify customer orders and change orders comply with PMW’s Estimate and/or LTA/contracts
  • Verify and enter new customer purchase orders and change orders into ERP
  • Coordinate with Planning, Estimating, Purchasing Department, and Program Managers, flowing down necessary information from customer purchase orders
  • Compose and type routine correspondence related to customer purchase orders
  • Ensure contract review is performed per documented process
  • Electronically file all reports, purchase orders, and correspondence categorically
  • Perform weekly Open Order Bounces for Quality Control
  • Download status files from customer portals
  • Check customer portals for new customer purchase orders or change orders
  • Accept/reject customer purchase orders or change orders on customer portal or manually as required
  • Monitor, perform tasks, and move workflow items in the order entry node
  • Maintain customer contracts database
  • Electronically organize and control access to all company contracts (customer or supplier)
  • Drive action to Program Management ahead of contract expiration for extension or termination processes
  • Evaluate and process all orders and contracts
  • Issue sales orders, update sales order changes, determine order changes, and identify contractual exceptions
  • Determine and analyze cost and pricing data as applicable
  • Ensure compliance with contracting policies, PO clauses, PO notes, laws, and regulations
  • Respond promptly to requests from other departments for information or changes from customers
  • Complete Form F100/F101 for Contract/PO review for new part number awards and schedule/conduct meetings with department managers (Estimating, Purchasing, Eng./Planner, Program Manager, Quality)
  • Provide reports for job costing analysis for expiring contracts and requests for extension contracts
  • Attend and participate in staff meetings
  • Download and review customers' SAP/Min-Max/Forecast/Execution reports and update ERP system
  • Review RMA requests, issue/create RMA numbers from ERP, and complete Form F801 for QA Manager approval
  • Maintain and manage user access to EXOSTAR and customer websites
  • Scan, index, and store purchase orders and PO changes on Docuware
