Requirements

  • Five years of administrative experience
  • Ability to anticipate needs of manager and take appropriate steps with minimal supervision to produce accurate and timely outcomes
  • Adherence to T&E policies, including booking travel arrangements (domestic & international) and monthly reconciliation of business expenses, and BMS internal corporate policies for accurate and compliant reporting of expenses
  • General knowledge of corporate budget processes (contracting, forecasting, purchase order setup, etc.)
  • Ability to ensure VP’s preparedness for meetings (e.g., assemble meeting materials, ensure any pre-work is complete, etc.)
  • Willingness to assist and support others while balancing work demands
  • Confidence to escalate decision-making when appropriate
  • Ability to interface appropriately with BMS senior executives/matrix team members and collaborate effectively with both leadership team administrative staff
  • Ability to represent team in a professional manner in engagements with external organizations
  • Ability to handle confidential information with discretion and demonstrate diplomacy/good judgment in sensitive situations
  • Preparedness to adapt to constant change and quickly course correct when necessary in a rapidly evolving environment

Responsibilities

  • Provide administrative support to the U.S. Federal Government Affairs Vice President and members of the Federal Government Affairs team, as needed
  • Partner with the Strategic Planning and Operations team to assist with budget-related work for Policy in compliance with BMS’ finance procedures
  • Accomplish diverse and complex administrative tasks in a fast-paced, rapidly evolving environment, working with a broad range of internal stakeholders and senior leaders across Global Policy and Government Affairs, USPGA, and other key business functions
  • Perform proactive calendar management, meeting scheduling, travel booking, preparing/processing expense reports, and research projects, among other assigned tasks
  • Handle high-profile scheduling including senior corporate leadership, USPGA leadership team, other internal/external partners and stakeholders (e.g., federal agencies, trade associations)
  • Partner with other EAs across the enterprise to support the Federal Government Affairs VP and team effectively, collaboratively, and professionally
  • Process SAP/Ariba entries, generate purchase orders, manage contracts/agreements, track quarterly and annual Policy spending, and respond to requests from BMS finance reporting
