Requirements

  • 2+ years of previous administrative or personal support experience, preferably in a fast-paced remote environment
  • Excellent English (at least C2 level in either TOEFL or IELTS) written and verbal communication skills and perceptiveness
  • Demonstrates the highest ethical standards, strict confidentiality, maturity, actively promotes trust, respect and integrity in all dealings both inside and outside the company
  • Excellent digital literacy, including proficiency with Google Workspace and Slack

Responsibilities

  • Plan, organize and manage the leaders’ complex calendar (resolve overlapping commitments and protect time for priorities) including working with them to prioritize their time and attendance
  • Plan, coordinate and manage extensive domestic and international travel, including flights, accommodation, ground transportation, and itineraries
  • Proactively manage and organize executive email inboxes, including filtering, prioritizing, ensuring timely follow-up and attention to critical matters
  • Oversee and process leaders’ expenses, including accurate tracking, submission, and reconciliation of receipts, invoices, and travel expenses, ensuring alignment with company policies and budgets
  • Manage small-scale projects, ensuring leaders focus on priority items, and facilitating effective cross-functional communication
  • Foster trust with the Business Partner team and Executive team, keep stakeholders informed, identify communication gaps, and escalate issues as needed to support leadership
  • Understand how the company operates and the mechanics of our business by knowing who is responsible for what and who our executives and senior leaders are for each business area
