Requirements

  • Bachelor’s degree in Administration
  • 2+ years of experience as an administrative assistant, virtual assistant or office admin assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • Preferred Qualifications
  • Qualification as an Executive Administrative assistant or Secretary
  • Intermediate Spanish language skills

Responsibilities

  • Assist with daily administrative tasks, including document handling, email follow-ups, and calendar coordination
  • Facilitate internal communication across teams, ensuring information flows clearly and promptly
  • Maintain accurate records, databases, and internal systems while ensuring confidentiality
  • Support the preparation of reports, presentations, and meeting materials
  • Coordinate operational requests and follow up on team requirements, ensuring timely and quality execution
  • Serve as a point of contact for administrative inquiries, directing needs to the appropriate areas
