Candidates must possess a high school diploma or GED and a minimum of two years of related experience in an office environment, demonstrating a general understanding of accounting and a thorough understanding of purchasing and accounts payable. Experience with Ariba systems or another electronic procure-to-pay system, a basic understanding of Sarbanes Oxley 404 guidelines, and intermediate proficiency with Microsoft Office (Word and Excel) are required. Effective communication skills with internal and external customers are also necessary. The position requires residency in the Heartland Area (Central Time Zone) and reliable high-speed internet for remote work.
The A/P Support Specialist will oversee the purchase order process from order to receiving, including exception handling, and serve as the primary liaison between field operations and centralized A/P processing. Responsibilities include coordinating and creating requisitions, ensuring proper general ledger account coding, negotiating payment terms and discounts with local vendors, and coordinating bidding and selection for local goods or services. The specialist will also escalate purchasing consolidation opportunities, work with various field organization levels on purchasing needs, and utilize preferred vendors. They will submit vendor add or change requests, follow up on outstanding escalation items between divisions and the AP processor, research and resolve exceptions during invoice reconciliation, and monitor the receiving of goods or services. Additionally, the role involves identifying error trends, researching root causes, implementing preventative solutions, scanning and sending locally received invoices, organizing and distributing checks, monitoring ePro reporting, assisting controllers with month-end accruals, and understanding work assignments while consulting management when unclear. The specialist must adhere to company policies, serve as backup for colleagues, and perform other assigned duties.
