Responsibilities

  • Serve as the main point of contact for visitors, greeting and welcoming guests, directing them appropriately, and notifying company employees of arrivals
  • Execute all in-office workplace service events and employee activities, partnering with GREWS team members for timely experiences
  • Assist with company local events and meetings (onsite/offsite conference room reservations, catering, décor, coordination, etc.)
  • Manage conference room scheduling and work with meeting hosts on planning, including catering and A/V information
  • Coordinate all aspects of onsite conferencing and meetings, including configuration and setup of physical spaces like training and conference rooms
  • Assist and align with IT/Helpdesk/EA/HR teams to set up conference rooms and training rooms for corporate meetings, recruiting events, sales conferences, and specialty events
  • Support new-hire and onboarding process, including workspace preparation, arrival, access credentials, and site familiarization
  • Maintain security by following approved procedures in partnership with Global Physical Security
  • Maintain safe and clean reception area, break area, conference rooms, and all other workspaces
  • Serve as local subject matter expert for visiting staff on hotels, restaurants, team building, and general area knowledge
  • Administer back-of-house facilities operations, including FF&E maintenance and MEP issues with landlords, vendors, contractors, and consultants; hold vendors accountable to SLAs and review deliverables regularly
  • Meet and collaborate regularly with business unit representatives and stakeholders
  • Respond to all workplace inquiries, assess needs or issues, and take corrective action
  • Follow up with leaders on escalations or documentation as necessary
  • Act as liaison with Landlord/Property Management on back-of-house maintenance issues
  • Champion recurring meetings with all parties for effective communication on property/building processes, maintenance events, and projects
  • Monitor and maintain office equipment in partnership with the IT department
