Ability to work flexible hours as needed to support occasional before/after-hour events or special projects

Responsibilities

Execute the planning, coordination, and end-to-end delivery of office events and engagement initiatives (e.g., casual social gatherings, "moments of joy," cultural rituals)
Partner with the Talent (HR) team to support logistics of key initiatives, including new-hire onboarding (tours, workspace setup, welcome), company-wide events, and community engagement efforts
Serve as the primary, warm, professional face of BenchSci for employees, guests, and candidates, providing proactive concierge-style support and handling general inquiries
Act as a culture catalyst by connecting people and departments, making employees feel valued
Coordinate the purchasing, packaging, and delivery of BenchSci swag, including new-hire kits, anniversary gifts, and acknowledgments for significant life events
Own the daily "open and close" of the office, ensuring spaces (common areas, meeting rooms, kitchen) are pristine, fully stocked, and ready (e.g., manage coffee machines, maintain cleanliness, operate dishwashers)
Proactively manage office inventory (snacks, beverages, coffee, office supplies, promotional items) and own relationships with third-party vendors (e.g., cleaners, property management, water plants, general contractors for minor repairs), including related budgets
Act as the central hub for workplace needs: manage inbound/outbound mail and deliveries, coordinate with IT for AV issues, manage visitor sign-in (Envoy), maintain fob assignments, handle building maintenance or health & safety issues
Partner with IT, building management, and other teams for seamless operations; handle administrative work including budget tracking, invoice processing for AP, and maintaining health and safety policies
