Candidates must have 5+ years of experience managing office facilities/workplace operations, including experience with postage, shipping, and general office equipment. They should also have experience working with trades (electrical, plumbing, HVAC), familiarity with physical security practices and safety administration, and the ability to manage projects and collaborate with technical and business stakeholders. Strong verbal and written communication skills, fluency in Mac and PC platforms, and advanced proficiency in Microsoft Office Suites, Google Workspace, Slack, Zoom, and Confluence are required. Applicants must be authorized to work for any employer in the U.S. and live within a 10-mile radius of El Segundo.
The Workplace and Facilities Coordinator will serve as the on-site point person for general maintenance, mailing, shipping, receiving, deliveries, supplies, equipment, bills, and ad hoc errands. They will provide operational and administrative support, execute office policies, conduct office tours, coordinate on-site meetings and events, and assist departments with special projects. This role involves managing all office services, overseeing daily routines, managing on-site storage, coordinating office moves, maintaining kitchen appliances and services, coordinating special maintenance, acting as the point of contact for property management and tenant space planning, and managing facilities-related expenses and the office budget. Additionally, they will manage parking passes, badge access, video surveillance, security alarms, and visitor management systems, coordinate safety training, conduct monthly safety inspections, and report any safety or security concerns. Vendor and IT coordination includes managing external vendors, coordinating with IT on office equipment, and requesting Certificates of Insurance for vendors. The coordinator will also support on-site meetings and events, provide ongoing support for visitors and employees, and handle ad hoc projects.
