Requirements

  • Ability to coordinate plans and schedules for projects, company, and business-related events with minimal direction, including researching options, resources, cost efficiencies, establishing timelines, agendas, technology needs, pre-travel preparation, and acting as liaison for visitors
  • Proficiency in handling administrative aspects of calendar management for leadership and team with minimal or no supervision, including collaborating to coordinate appointments, anticipating time needs, monitoring calendars, managing meeting rooms, prioritizing requests, and identifying key attendees using business knowledge
  • Skill in constructing electronic, verbal, and written communications for leadership using business and process knowledge, including follow-up on requests, gathering information from senior leadership, drafting/sending communications, reviewing/editing documentation, and prioritizing incoming messages
  • Expertise in financial and business data management, including collecting/compiling/forecasting/reconciling data, identifying/escalating risks, creating/maintaining reports/tools/templates, ensuring confidentiality, processing invoices/expense reports/time reporting, and handling exceptions
  • Ability to serve as associate contact/resource, filter/prioritize requests for leadership, mentor/delegate to assistants, resolve customer requests, maintain internal networks, and conduct technical coordination activities
  • Up-to-date expertise to provide advice/guidance, align efforts to business needs, and improve action plans
  • Capability to implement business solutions by building stakeholder relationships, identifying needs, carrying out processes, monitoring progress, recognizing improvements, and adapting to changes

Responsibilities

  • Manage leadership and team calendars, appointments, and meeting facilities
  • Draft, edit, send, and prioritize communications on behalf of leadership
  • Collect, compile, forecast, reconcile, and report financial/business data; process invoices, expenses, and time
  • Act as contact/resource for associates, filter/prioritize leadership requests, mentor assistants, resolve issues, and maintain networks
  • Provide expert advice and guidance on information and best practices
  • Support business solutions through stakeholder partnerships, process execution, progress monitoring, and adaptation
  • Model and support compliance with policies, ethics, and values; apply Open Door Policy
  • Demonstrate respect for individuals, promote positive experiences, embrace diversity, and build cultures of belonging
