Requirements

  • 3-5 years of experience in Talent Acquisition, HR Operations, or a related field
  • Minimum of a bachelor’s degree in human resources, business, or related field
  • Strong organizational skills and attention to detail
  • Excellent communication and customer service skills
  • Experience with shared service models and intake management tools (i.e.: Microsoft Forms, Salesforce)
  • Familiarity with HRIS systems (i.e.: Workday) and other recruitment technologies
  • Ability to work independently in a fast-paced, global environment
  • Process-oriented mindset with a focus on operational efficiency

Responsibilities

  • Serve as the first point of contact for talent acquisition related inquiries, providing timely and accurate guidance to recruiters, coordinators, and hiring managers
  • Manage shared service channels (i.e.: shared inboxes, forms, ticketing systems), ensuring requests are triaged, tracked, and resolved or escalated appropriately
  • Maintain and update process documentation, standard operating procedures, and internal knowledge bases to support consistent execution across regions and teams
  • Identify recurring issues or process gaps and escalate them to the Lead for resolution or improvement
  • Support day-to-day coordination with external vendors (i.e.: recruitment outsourcing providers, agencies), ensuring smooth service delivery and issue resolution
  • Track vendor-related inquiries and escalate service disruptions or performance concerns
  • Assist with vendor onboarding logistics, documentation updates, and service communications
  • Provide high-quality, responsive support to internal stakeholders across geographies, ensuring a positive and consistent experience
  • Communicate process updates, changes, or clarifications clearly and professionally
  • Participate in onboarding and training sessions for new recruiters or hiring managers to ensure understanding of operational processes
  • Ensure intake forms, templates, and knowledge articles are current, accessible, and aligned with approved processes
  • Monitor and manage intake volumes, flagging trends or capacity concerns
  • Support the upkeep of internal trackers and logs to ensure visibility into request types, resolution times, and service patterns
