Requirements

  • 3-5 years of experience as a Talent Acquisition Coordinator, Administrative Assistant, or similar role
  • Experience supporting and interfacing with leadership teams or executives within an enterprise organization
  • Experience with MS Outlook, Teams, and OneDrive
  • Experience with Ariba purchasing and Concur travel software programs, preferred
  • Experience with Applicant Tracking Systems and Candidate Relationship Management systems, preferred
  • Ability to multi-task and manage competing priorities
  • Excellent organizational skills
  • Excellent written and verbal communication skills

Responsibilities

  • Coordinate interview schedules with hiring teams and candidates (in-person, video, phone)
  • Candidate logistics to include scheduling, travel arrangements, and escorting candidates around the campus while on site
  • Track candidates’ data (e.g., resumes, assignments and contact details) within our Applicant Tracking System and Candidate Relationship Management systems
  • Assist with New Hire Orientation and related onboarding tasks (e.g., preparing the necessary paperwork and completing I9 documents)
  • Invoice and expense payment tracking and reporting to ensure all vendor payments are complete and documented for budget tracking purposes
  • Coordinate temporary requests from the business with our contingent labor preferred vendors
  • Process Cobra reimbursement requests
  • Ad hoc reporting & Other duties as assigned
