Requirements

Candidates should have over 5 years of experience in an administrative support role, ideally with exposure to supply chain, logistics, or operations. Exceptional English communication skills, both written and verbal, are required, as is comfort working remotely with minimal supervision. The ideal candidate is detail-oriented, highly organized, proficient in Microsoft Excel and Google Sheets, and proactively finds solutions. Experience with Asia-based manufacturers, international trade documentation, Incoterms, customs clearance, and dangerous goods shipping is a plus.

Responsibilities

The Supply Chain Administrator will manage and execute commercial documentation processes for the international flow of e-bike components, parts, and complete e-bikes. This includes preparing and verifying shipping documents such as commercial invoices, packing lists, bills of lading, and certificates of origin, ensuring compliance with import/export requirements and Incoterms. Responsibilities also involve coordinating inbound shipments, tracking shipment status, supporting customs broker processes, ensuring correct HS codes and documentation for components like batteries, maintaining filing systems, and assisting with customs duties exemptions. The role requires cross-functional support for document reconciliation with procurement, operations, and finance, as well as assisting with supplier onboarding from a documentation and compliance perspective.
