Requirements

  • Ability to proactively manage a leader’s calendar with focus on efficient time utilization, conflict management, and preparation for forums
  • Proficiency in reviewing priorities, flagging high-priority communications (emails, documentation), drafting responses, and calendaring worktime
  • Experience maintaining org charts, site maps, and distribution lists
  • Knowledge of staff on-boarding/off-boarding processes, including pre-screening, interviews, and candidate experience management
  • Skills in coordinating business itineraries, events (visitor meetings, all-staff, special events), and associated needs (FAQ for IT, Workday, space moves, supplies)
  • Capability to support leadership team (LT) in critical initiatives like budget review/planning, goals planning, strategic planning, talent management, and compliance review
  • Experience managing internal/external training, troubleshooting travel/expense reports
  • Ability to conduct pre-work for meetings (agendas, pre-reads, invitations, room reservations)
  • Understanding of company policies to interpret, relay information, and flag deviations requiring attention
  • Strong relationship-building skills with Executive Assistants across organizations
  • Proficiency in creating efficient templates (e.g., SharePoint, OneNote) and using latest technology (including mobile) to solve business problems
  • Ability to identify business process-improvement opportunities and support paper-free environments (OneNote, Box, SharePoint)
  • Experience with technology testing, recommendations, teaching others, and serving as a resource for document continuity
  • Availability to work in office 3-4 days per week in La Jolla, CA, with 1-2 days remote per J&J Flex Policy

Responsibilities

  • Proactively manage the leader’s calendar for efficient time use and conflict resolution, ensuring preparation for all forums
  • Review priorities, flag high-priority emails/documentation for response/action, calendar worktime, and provide draft responses
  • Maintain org charts, site maps, and distribution lists
  • Support staff on-boarding/off-boarding (pre-screen, interviews, candidate ambassadors) for optimal candidate experience
  • Coordinate business itineraries and needs
  • Schedule, coordinate, and track events including visitor meetings, all-staff meetings, and special events; handle FAQs for IT, Workday, space moves, supplies
  • Work with LT to manage critical initiatives: budget review/planning, goals planning, strategic planning, talent management, compliance review
  • Manage internal/external training
  • Troubleshoot travel and expense report challenges
  • Conduct pre-work for group/cross-site meetings (agendas, pre-reads, invitations, room setup) hosted by the leader
  • Interpret and relay company policy information; inform manager of deviations needing attention/approval
  • Build relationships with Executive Assistants in DPDS and other teams for efficient teamwork and engagement
  • Create efficient templates for procedures, communications, reports (e.g., SharePoint, OneNote)
