Requirements

  • 2 years experience in an administrative role (considered an asset)
  • Experience working in a construction environment (considered a strong asset)
  • Invoicing and accounting experience (considered an asset)
  • Must be organized and self-motivated with a sense of urgency
  • Ability to work in a fast-paced environment and be flexible
  • Able to prioritize competing deadlines and manage a high volume workload efficiently
  • Customer service oriented with a courteous and professional phone manner
  • Strong skills using the Microsoft office package; Word, Excel and Outlook

Responsibilities

  • High volume file management and ensuring all information is updated and accurate
  • Collection and maintenance of customer contact and relevant information
  • Understanding the various roles of the Service Department to ensure all calls and information is directed to the correct person
  • Assist with Accounts Payable and Accounts Receivables on Service billings
  • Working with various people to ensure all related documents are present and readily available
  • Preparation and management of various project related documents, such as work orders, quotes, purchase orders, change orders, etc
  • Full cycle invoicing, which includes invoicing clients for completed work, as well as matching and approving POs
  • Management and accurate documentation of Vehicle or Inspection reports, as well as ensuring CVOR reports are completed and filed
  • Preparing warranties as required (standard, OIRCA etc.) as well as insurance requests
  • Creating and closing subcontracts and submitting pay requests
  • Time card collection and review and payroll back-up if required
  • Maintain employee paperwork for field personnel to ensure all necessary paperwork is provided and filed
  • Ensuring CVOR logs are sent to Regional Health & Safety Manager each month
  • Other duties as required
