Requirements

  • Familiarity with import/export processes, temporary admissions/exports, CITES permits, export licenses, and French customs procedures (e.g., Mise consommation, SMF, SLL, DRIEE)
  • Proficiency in administrative management, including monitoring sales results, preparing customs adjustments, and inventory accounting
  • Strong customer service skills for assisting clients with inquiries pre-, during, and post-sale
  • Experience with internal systems for recording quotes and managing transport files

Responsibilities

  • Administrative management of transport operations
  • Administrative management of post-sale adjustments for temporary imports, temporary exports, releases for ‘Mise consommation’, customs warehousing, and inventory accounting, including monitoring Parisian and international sales results, preparing customs adjustments, and gathering evidence
  • Managing applications for export licenses and CITES permits in conjunction with carriers, customs, SMF, SLL, and DRIEE
  • Operational management of domestic and international transport files, ensuring correct import/export in accordance with laws and regulations
  • Responding to and resolving enquiries and issues concerning pre- and post-sale shipments rapidly
  • Assisting clients with inquiries or account-related issues before, during, and after sales
  • Recording and validating quotes into internal systems
  • Providing accurate shipping quotes for buyers pre- and post-sale, considering international shipment and customs regulations
  • Collaborating with specialist departments to gather information on import, export, and travelling exhibition items
  • Liaising with shippers to request quotes, secure best prices and times, contact service providers with instructions for packaging, collection, transport, and security for accepted quotations
  • Ensuring smooth running of local and international transport, examining and resolving problems with carriers proactively, and keeping parties informed
  • Communicating import customs specificities to internal/external clients for travelling exhibitions
  • Respecting delivery times for travelling exhibitions/lots for expertise and returns to other Sotheby’s offices worldwide
  • Organizing group shipments where possible to improve efficiency and reduce costs
  • Communicating with shipping vendors and internal specialist departments to troubleshoot and rectify shipping issues timely, keeping clients informed
  • Management of re-imports of unsold goods outside the EU
  • Regularisation for Taxe forfaitaire or temporary admission
