Requirements

  • Bachelor’s degree in business, Communications, Public Administration, or a related field (preferred but not required)
  • 3+ years of experience in sales support/sales, proposal coordination, contract administration, or program management
  • Experience working with SharePoint, Teams, and Planner (preferred)
  • Expertise in Microsoft Word, Excel, and PowerPoint (required)
  • Familiarity with government and commercial contracting processes, including managing contract vehicles
  • Excellent verbal and written communication skills
  • Strong understanding of sales lifecycle and RFP process
  • Ability to create and maintain scope of work templates and process for developing scope of work with subject matter experts
  • Ability to review scopes of work and ensure compliance with company policies and standards
  • Experience managing and maintaining contract vehicles, including renewals and compliance requirements
  • Ability to filter and route bid site opportunities based on company capabilities
  • Excellent customer-facing confidence on video, phone calls, and email
  • Excellent organization and prioritization skills
  • Proficiency in Microsoft Outlook for emails and calendars and scheduling, Word, Excel, and PowerPoint for document creation, data analysis, and presentations
  • Strong familiarity with Microsoft SharePoint for document management and collaboration
  • Ability to review, analyze, and ensure contract and proposal documents compliance
  • Strong understanding of RFP/SOW coordination processes, including document formatting, version control, and submission requirements
  • Experience with government contract management, including maintaining and renewing contract vehicles
  • Familiarity with procurement portals and bids
  • Experience producing and managing recurring and ad-hoc reports for business operations
  • Ability to track technical conversations and learn high-level technical information and products in the Microsoft eco-system

Responsibilities

  • Managing emails, schedules, creating SOW templates, tracking tasks and opportunities, and communicating with clients and partners
  • Reviewing bid sites to identify relevant opportunities, routing them to the appropriate staff, and ensuring compliance with document requirements for project setup in the tracking system
  • Supporting the production of recurring and one-time reports, providing valuable insights to internal stakeholders
  • Coordinating meetings with VP and potential clients in a timely manner
  • Assisting in coordinating task tracking for sales opportunities
  • Creating SOW templates and processes to work with SMEs on developing what services will be delivered
  • Assisting in coordinating and submitting responses to customer Requests for Proposals (RFPs), ensuring all requirements are met and deadlines are achieved
  • Reviewing scopes of work to ensure alignment with company standards, policies, and contractual obligations
  • Collaborating with internal teams to ensure all document requirements for project setup
  • Managing and maintaining special contract vehicles, ensuring compliance and timely renewals
  • Regularly reviewing procurement portals and bid sites to identify new opportunities and route them to the appropriate internal staff
  • Maintaining accurate proposals, contracts, and compliance documents
