Requirements

  • 2–4 years of experience in a high-volume Recruiting Coordinator, HR Coordinator, or administrative support role, preferably within the technology industry
  • Exceptional organizational skills and an obsessive attention to detail
  • Demonstrated ability to manage multiple priorities simultaneously in a fast-paced, high-pressure environment
  • Excellent written and verbal communication skills
  • Proven experience in operational excellence: driving efficiency, continuously improving processes, and ensuring smooth, predictable hiring workflows
  • Proven experience in attention to detail: meticulous organization and accuracy in scheduling, documentation, and data management
  • Proven experience in candidate engagement: creating a positive, welcoming, and memorable experience for all candidates
  • Proven experience in collaboration: working effectively with recruiters, hiring managers, and cross-functional teams
  • Experience with Applicant Tracking Systems (ATS) like Greenhouse, Lever, or Workday is a plus

Responsibilities

  • Coordinate high volume, complex interview schedules (virtual and in-person) across multiple time zones for candidates and interviewers, often involving candidate negotiations
  • Manage and confirm all logistical details, including sending clear interview confirmations and acting as the primary point of contact for candidate inquiries
  • Maintain timely and professional communication with candidates, ensuring they feel supported, informed, and excited about the opportunity
  • Gather and track candidate feedback and proactively address any issues to maintain a high-touch, positive experience
  • Ensure data integrity by accurately inputting, updating, and maintaining candidate information within the Applicant Tracking System (ATS)
  • Own the offer generation process, ensuring all documentation is accurate and compliant
  • Identify opportunities to streamline existing processes and actively contribute to the development of recruiting operational standards
  • Partner closely with recruiters and hiring managers to understand their hiring priorities and capacity
  • Coordinate interview team debrief sessions and manage follow-up communication to facilitate timely hiring decisions
  • Assist with ad-hoc projects, recruiting events, and reporting as needed
