Requirements
- Three to five (3-5) years of experience managing complex, multi-pronged projects with 10-50 stakeholders
- Extremely organized with an instinct for thinking on one’s feet and finding solutions on the fly
- Comfortable managing multiple workstreams simultaneously and collaborating with multiple people and personalities
- Comfortable and confident communicating with senior colleagues on a daily basis, helping them focus as needed, and facilitating timely delivery of deliverables
- Interest in growing into a role in project management and/or organizational dynamics, with a passion for finding efficiencies in team operations
- Interest in marketing, business strategy and/or persuasive writing
Responsibilities
- Tracking and managing RFP intake
- Collaboratively identifying subject matter experts and key RFP response contributors and managing them through the authoring and revision process
- Tracking contributors’ progress, working across teams to facilitate timely completion of all requirements and deliverables
- Capturing, documenting, and distributing team feedback, ideas, and direction following working sessions, brainstorming, and discussions
- Managing document revision and versions
- Collaboratively identifying supplemental assets to differentiate responses (e.g., presentations, personas, videos), coordinating their creation, ensuring accuracy and alignment to RFP win strategy
- Assembling individual RFP response sections into cohesive, final public-facing documents
- Ensuring all RFP requirements are satisfied by the final document
- Managing and providing input on internal processes for RFP work
- Functioning as the point person on behalf of the marketing team throughout the RFP intake and completion process (60% cross-team communication, collaboration & coordination)
- Managing multiple teams and stakeholders to assigned deadlines
- Documenting feedback and discussions, distributing in written form following meetings
- Capturing all action items and responsible parties from meetings
- Contributing constructively to discussions on marketing, strategy, and winning new business as a marketing team member
- Taking ownership of the RFP process (intake, creation, revision, delivery), including rolling out and driving adoption of RFP proposal management software (20% process management)
- Identifying opportunities for process improvements and championing them outside the marketing team
- Building relationships across teams and with internal stakeholders (20% relationship management)
- Functioning as the marketing team representative when reaching out to other teams
- Fostering supportive relationships, accepting feedback, raising concerns, and proactively anticipating marketing team needs
