Requirements

Ability to establish and maintain working relationships with governmental authorities and stakeholders
Proficiency in reviewing project documents (e.g., drawings, reports, contracts) to identify permit and approval requirements
Capability to assist in scheduling, arranging, and coordinating meetings
Skills in preparing agendas and minutes of meetings
Experience in preparing, submitting, and tracking permit applications
Familiarity with utilizing tracking systems for permits and approvals
Ability to maintain permit trackers and manage records of comments, responses, submissions, and resubmissions
Competence in uploading plans and records into required registries
Skills in identifying issues, defining mitigation measures, and reporting
Ability to arrange, schedule, coordinate, and align objectives with interdisciplinary teams
Proficiency in monitoring and tracking documents related to Lands, Property, and Access
Experience in preparing and submitting requests for Permit to Enter

Responsibilities

Establish and maintain working relationships with relevant governmental authorities and stakeholders through the Contracting Authority Representative
Review project documents (e.g., drawings, reports, and contracts) to identify permit and approval requirements
Assist the PLAA Manager in scheduling, arranging, and coordinating meetings with the city and other external stakeholders
Prepare agenda and minutes of meetings for all meetings under the team’s responsibility
Prepare, submit, and track all required PLAA Building Permit applications
Utilize the PLAA Tracking System to track the progress of PLAAs throughout the project
Maintain a permit tracker to manage records of comments, responses, submissions, and resubmissions of permit applications
Ensure that all plans and records related to PLAA are uploaded into registries as required by Governmental Authorities and Contracting Authorities
Identify potential issues affecting PLAAs, define mitigation measures, and report to the PLAA & Lands Manager
Arrange, schedule, coordinate, and align the PLAA/Lands team’s objectives with interdisciplinary cross-functional working groups, including but not limited to design teams, consultants, and construction teams
Monitor and track documents related to Lands, Property, and Access for the entire Project
Prepare and submit requests for Permit to Enter to Contracting Authority for access to private lands
Perform other related duties as assigned
