Requirements

  • 2+ years in order management, customer and/or sales support
  • High school diploma or equivalent
  • Preferred: Bachelor’s Degree in relevant field or equivalent
  • Preferred: Basic understanding of revenue recognition rules to read and understand sales agreements
  • Preferred: Capable of calculating pricing and pro-rated maintenance
  • Preferred: SAP system database experience
  • Preferred: Strong understanding of SOX regulations and standards

Responsibilities

  • Validate purchase orders against contractual agreements and required documents (e.g., purchase orders, SOW’s, quotes)
  • Provide status updates to executive team and field sales team with clear communication and expectations
  • Maintain customer files and coordinate with departments on order status, shipping dates, prices, product availability, and back orders
  • Research and ensure components sync with maintenance agreements to generate license keys
  • Process hardware, software, subscription, and support orders into SAP ERP system, ensuring accuracy and setting customer delivery expectations
  • For net new and expansion customers, create work orders for professional services to schedule and track deployments
  • Use discretion to determine exceptions requiring approvals per Sales Decision Matrix
  • Confirm order acknowledgements and scheduled ship dates to customers
  • Support multiple sales personnel within sales regions under each Regional Vice President
  • Handle month and quarter end close responsibilities
  • Ensure integrity of monthly maintenance reports
  • Log incoming orders in SharePoint and assign to team members managing the region
  • Audit supply orders for accuracy and work with team to update as needed
  • Manage backlog and work cross-functionally with Professional Services to schedule shipments in proper quarters
