Requirements

  • Bachelor’s or Master's degree or equivalent experience
  • Minimum of 5 years’ experience in office management, including at least 2 years in a people-lead or supervisory role
  • Experience in event management, vendor negotiation, and budget oversight
  • Excellent communication skills in Dutch and English (written and verbal); additional languages are an advantage
  • Strong interpersonal and leadership skills with a collaborative, supportive approach
  • Ability to manage multiple priorities and remain effective under pressure
  • High level of discretion, applying confidentiality principles consistently
  • Strong attention to detail and accuracy

Responsibilities

  • Lead, coach, and develop the office support team, fostering a collaborative and high-performing environment
  • Oversee daily operations, delegate tasks effectively, and ensure team members have the resources and training needed to excel
  • Drive continuous improvement within the team by encouraging professional growth, promoting high service standards, and facilitating open communication
  • Coordinate leadership visits, ensuring all arrangements meet organizational expectations and fully support the objectives of the EU Leadership Team
  • Record and distribute minutes of leadership team meetings and works council meetings with accuracy and timeliness
  • Oversee office administration, facility operations, and supply management, ensuring smooth and reliable support across the site
  • Maintain administrative oversight of selected vendor relationships, ensuring quality and compliance
  • Support travel and expense management, including coordination and guidance where needed
  • Provide logistical support for internal communications, such as town halls, engagement events, and the implementation of communication strategies in collaboration with the Communications team
  • Ensure adherence to company policies and procedures, promoting compliance and consistency across all office operations
