Requirements

  • Bachelor’s degree (4-year university degree) or equivalent degree
  • At least 3 years of experience in General Affairs or office operations related jobs
  • Experience in vendor/supplier relationship management
  • Experience in Procurement/tendering/bidding process
  • Experience in projects such as office relocation
  • Experience in Financial management - budgetary development, tracking, reporting
  • Good understanding in managing and preparing budget
  • Good English skills
  • Experience working in a foreign company is a plus
  • Good presentation and communication skills
  • Proficient in building business cases, leveraging on Microsoft tools e.g. PowerPoint, Excel, Power BI
  • Experience in AV/VC related
  • Ability to read architectural, electrical, mechanical, and plumbing drawings, preferred
  • Good analytical and planning skills
  • Good project management skills: planning & coordinating, communicating & influencing, relationship building, achieving milestones, resolving issues and managing risks
  • Experience in partnering, collaborating in highly matrix MNC organization

Responsibilities

  • General facility operations at Tokyo HQ and other offices in Japan (60%)
  • Management of inquiry items to Facilities & Operations
  • Desk/Meeting room booking system management
  • AV (Audio Visual)/VC (Video Conference)-equipment and MFD management
  • Asset Life Cycle management
  • Develop and maintain physical security process
  • Contact with building management company of Tokyo HQ’s building
  • Contact with building management company of sales offices
  • Vendor management
  • Manage project within budget and schedule (10%)
  • Active participation in the tendering/bidding process, in collaboration with Indirect Sourcing to ensure the appropriate vendors/suppliers are procured
  • Ensure all the project close out documents were handled over duly upon project completion in order to develop the facilities maintenance schedule and budget
  • Collaborate with APAC Facilities team in the development the Facilities & Real Estate Capital Strategy Plan (medium to long term), in engagement with the business
  • Payment related jobs (SAP Ordering Services - Ariba)/Invoice processing (30%)
