Requirements

  • Bachelor’s degree
  • At least 2 years’ experience providing support to Business Head(s) within a global organization
  • Exceptional communication, project management, and organizational skills
  • Efficient in business software and business systems processes and approvals
  • Ability to multi-task and prioritize to ensure that all assignments are completed in an accurate and timely manner
  • Thrives in a fast-paced environment and has excellent problem-solving skills
  • Strong communication skills
  • Excellent MS Outlook skills, including complex diary management (preferred)
  • Conversational Mandarin (bonus)

Responsibilities

  • Identify, enhance and follow specific processes and procedures to maximize the efficiencies of the business
  • Ensure the correct functioning of facilities, office and/or business support services
  • Provide administrative support to SVPs and their teams as requested
  • Provide primary administrative support for two senior executives and backup for other executive administrative assistants as needed
  • Maintain executive, customer and employee confidence and protect operations by keeping information confidential
  • Read, research, and route correspondence for executives and prepare draft letters/e-mails and correspondence
  • Maintain hectic appointment schedule by planning and scheduling meetings, agendas, conferences, teleconferences, and travel
  • Welcome guests and customers by greeting them, in person or on the telephone
  • Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies
