  • High school education or equivalent, with ability to read, write, type, edit, and proof general business correspondence and reports
  • Five or more years of secretarial/administrative experience, with at least three years at the company preferred
  • Ability to accurately and efficiently record and type dictation involving business vocabulary, typically acquired through a one-year business college program
  • Experience with Microsoft Office products, such as Word and Excel
  • In-depth knowledge of company policies, procedures, and operations
  • High level of confidentiality and professionalism
  • Ability to multitask, handling multiple tasks and projects simultaneously
  • Strong interpersonal skills to build relationships across the organization
  • Problem-solving skills

Responsibilities

  • Provides administrative support to the area executive, using judgment and initiative as needed
  • Administers programs, projects, campaigns, and/or processes for the operating unit
  • Coordinates manager’s schedule, makes appointments, and arranges travel
  • Answers, screens, and directs incoming calls
  • Assists in preparation of administrative reports, gathers sensitive information, completes moderately complex reporting and analysis, and distributes reports
  • Greets internal and external customers and answers complex questions
  • Sorts and distributes incoming mail, prepares outgoing mail and correspondence, and responds to items not requiring executive attention
  • Coordinates and arranges meetings, prepares agendas, and reserves/prepares facilities
  • Acts as liaison with key executives, external personnel, and others to transmit information and obtain data
  • Creates written correspondence and reports from rough drafts, editing as needed
  • Organizes and maintains confidential file system and records
  • Serves as management delegate for email inbox and systems
  • Serves as liaison for administrative issues related to purchasing, personnel, facilities, and operations
  • Other administrative duties as assigned
