Job Description

Responsible for providing support to the company’s Commercial Office VP with the organization of their routines. The main tasks include managing the commitments of the company's main executives and guaranteeing support for both day-to-day activities and travel.

  • Provide executive and administrative support to the Vice President of the Commercial Office, including daily management, organizing and prioritizing key commitments and internal or external meetings.
  • Facilitate communication between executives and internal and external teams, ensuring clarity and effectiveness in information.
  • Plan and coordinate travel, including booking flights, accommodation and itineraries.
  • Administrative functions, such as credit card expenses, opening cards, ensuring documents are signed, travel organization (hotel reservation, plane ticket, travel insurance, transfers, requesting refunds/expenses).
  • Work closely with other stakeholders such as office manager, EAs, and administrators to ensure the smooth running of external meetings and events.
  • Maintain the confidentiality of sensitive information and treat all communications and documents discreetly.

  • Executives feel they can trust management of their schedules.
  • Good dialogue with counterparts or executive teams.
  • Pragmatism and good experience of executives in events and travel.

Location: This is a remote position. A remote position does not require job duties be performed within proximity of a Visa office location. Remote positions may be required to be present at a Visa office with scheduled notice.

Qualifications

  • Employment Type: Full-time
