Requirements

  • Bachelor’s degree or equivalent work experience
  • 6+ years of experience in coordination, administrative or operations capacity
  • Experience supporting executives at high levels; ability to quickly build relationships with leaders and understand their priorities
  • Previous experience supporting an Enterprise Partnerships or Sales organization in a high-tech environment (preferred)
  • Ability to work on-site 3-5 days a week, with occasional travel to other office locations (normally 2-3 days in Times Square office)
  • Ability to travel to provide on-site support at team meetings, other events/conferences as needed (approx. 20%)
  • Strong proficiency in Microsoft Office (Teams, Outlook, Word, Excel, PowerPoint), Slack, and familiarity with Concur or other expense-reporting software
  • Highly collaborative, able to maintain confidentiality, self-starter who thrives in a fast-paced environment
  • Ability to work autonomously, prioritize work, handle frequent interruptions, changing priorities, and remain flexible and calm under pressure
  • Positive, proactive, can-do attitude
  • Excellent interpersonal, written, and verbal communication skills

Responsibilities

  • Calendar management to coordinate all meetings, including complex executive and customer meetings with internal/external executives across global time zones
  • Arrange business travel, both domestic and international, including passport and visa requirements, adapting quickly to changes
  • Process business expense reimbursement requests, invoices, and PO handling with precision
  • Coordinate assistance with team office space and equipment
  • Maintain organization distribution lists and charts, reviewing data with keen attention to detail
  • Plan, coordinate, and execute all types of meetings and events, including team offsites and all-hands meetings
  • Build effective, inclusive relationships and partner with cross-functional Executive and Administrative Assistants; provide backup as needed
  • Problem-solve by anticipating and resolving challenges with initiative and efficiency, proactively identifying process improvements
