Responsibilities
Schedule meetings and video chats, reserve conference rooms, and coordinate with other Executive Support Professionals to schedule meetings and video chats with large numbers of team members
Understand the day’s priorities to schedule meetings intelligently
Adjust schedule flexibly for time-sensitive matters
Create multi-city travel itineraries, accounting for time zones, weather delays, traffic, and fatigue levels
Draft letters and emails on behalf of leaders
Track, file, distribute, and assist with preparation and editing of documents and presentations
Act as “casual buyer” of office supplies for the department, and manage purchase orders and vendor contracts
Prepare regular reports and summaries, owning certain tasks completely
Collaborate on projects by conducting research, writing, and fact-checking
Assist with on-boarding new employees and serve as the “friendly face” answering their questions
Mentor and train new support professionals in hard skills (e.g., computer programs) and soft skills (e.g., teamwork)
Assist in planning high-profile, complex events like offsites, as well as smaller-scale gatherings such as service recognition parties
Handle day-to-day administrative functions including expense reports, travel planning, and calendar management for two Assistant Chief Counsels, one Lead Counsel, and two Senior Counsels
Form strong relationships with leaders and co-workers, and leverage human capital within Disney to help executives flourish
Represent executives professionally as the “face” of the office, reflecting loyalty and positive attitude
