Requirements

  • 7+ years experience supporting C-suite level execs in a similar professional environment
  • Good working knowledge of the Google Suite
  • High level of accuracy and attention to detail
  • Excellent organisational skills with ability to manage time, prioritise conflicting demands, multi-task and work to tight deadlines
  • Ability to learn new systems and processes quickly and the desire to pick up new skills
  • Proactive and able to work under your own initiative
  • Outstanding written and verbal communication skills
  • Discreet and able to handle sensitive information in confidence
  • Confidence in managing relationships with senior stakeholders and clients
  • Ability to anticipate the needs of the people you support
  • Experience managing a range of competing priorities to tight deadlines

Responsibilities

  • Providing high standards of administrative support to the Global CFO
  • Diary administration, including organising internal and external meetings and managing logistics
  • Responsibility for all aspects of arranging travel and accommodation, including coordinating visas, booking flights, hotel accommodation, car transfers and taxis, producing travel packs and itineraries
  • Occasionally produce, format and collate documents using the Google Suite and/or working with the Marketing team to ensure documents follow Jellyfish's brand
  • Coordinate activities such as external events, internal events such as leadership days, lunches and staff away days
  • Produce correspondence to and communicating with clients in a professional and efficient manner
  • Collaborate with other teams, e.g. IT, Legal, OM, Operations and People, to ensure the smooth running of Jellyfish
  • Provide cover for holiday/sickness and help other Executive Assistants when needed
