Requirements

  • Subject Matter Expert on SAP, Outlook Email, internal Order Management Queue (OMQ), and other team interfaces
  • Technical Leader and first point of contact for team problems or issues, understanding urgency and escalation
  • Ability to work independently and offer guidance in a team environment, collaborating with Customer Service supervisor/manager
  • Strong verbal and written communication skills to develop rapport with team, customers, and field sales/clinical personnel
  • Experience training and/or mentoring newer employees
  • Ability to assist on projects requiring direct and diverse experience within Customer Service
  • Works out of Coyol de Alajuela location in the CRM division (Medical Devices Division of Abbott Laboratories)
  • First Level leadership providing “hands on” support (no direct reports)

Responsibilities

  • Leads a team of Customer Service personnel, embodying department/division vision, mission, and values
  • Receives, verifies, and processes purchase orders; coordinates distribution of medical devices to hospitals, sales representatives, and/or distributors
  • Researches and resolves problems with orders received, corrects orders, and releases for posting
  • Communicates inventory shortages, shipping status, and back-order availability to sales representatives and customers
  • Performs proactive follow-up with sales representatives/customers for implant information, purchase order numbers, pricing, and device tracking to ensure accurate inventory and timely billing
  • Obtains approvals, issues, and tracks Returns and Credits based on procedures; works with customers to expedite returns to resolution
  • Researches and prepares billing corrections to ensure proper billing and correct commission payments
  • Works closely with distribution center, Quality, Regulatory, Sales Operations, and other departments to reconcile problems and facilitate special/unusual requests
  • Escalates cases to management as required and proactively communicates to supervisor
  • Promotes department values with employees, internal/external customers, and supporting Abbott departments
