Responsibilities

Manage and report on office capacity using Robin Powered
Act as main point of contact and coordinate vendor relationships for pest control, sanitization, cleaning, snacks, fire extinguishers, HVAC, etc
Conduct daily walk-through checks for safety and maintenance
Proactively coordinate with Building Services on operational and janitorial issues
Plan and maintain beverages and snacks within budget
Maintain seating design and prepare desks for designated or hotel arrangements
Update office décor for special events
Ensure office spaces are well-stocked, clutter-free, and welcoming, including light cleaning of common areas
Collaborate with cross-functional teams like IT to execute workplace policies
Act as on-site First Aid attendant or arrange backup
Serve as on-site health and safety SME and make recommendations
Participate in Health & Safety Committee
Provide confidential executive admin support, including expense reporting
Manage office supplies for employees
Coordinate logistics for visiting virtual status employees (hotels, transportation)
Manage main phone line
Handle front office management and reception (visitor sign-in, tours, mail, shipping/receiving)
Provide administrative support to the Employee Recognition Program
Track and process office experience expenses
Execute company lunches and support department event coordination
Support execution of various employee events as part of the Employee Experience Team
