Requirements

  • Minimum 3 years’ experience in a similar role

Responsibilities

  • Oversee administrative operations including office stationery supplies, tea-room supplies, Health and Safety supplies, phone and Wi-Fi supplies, and booking accommodation, flights, and taxis
  • Coordinate and manage office events
  • Coordinate facility management tasks and raise purchase orders
  • Provide support to the senior NPDL Fiji team and the HR team
  • Process delivery dockets for SES, SDV, SLC, SPR, Transam Logistics, Waste Bin Charges, and Weighbridge, verifying against container lists for FCL movements and checking Weighbridge certificates
  • Manage outside hire for waste bins and process related charges
  • Process fumigation and storage fees based on work orders from the Operations team, verifying details with SCU before raising invoices
  • Respond to internal and external queries relating to charge code loss, WIPS, accruals, unbilled items, and unlocked transactions
  • Maintain a petty cash float and ensure proper approvals before releasing petty cash
  • Arrange allowances for drivers travelling for project work or container deliveries outside Suva
  • Check weekly timesheets and overtime entries, ensure submission every Wednesday, follow up on log sheets, and record overtime job numbers accurately
  • Ensure allowance forms are completed, sent for approval, and release funds from petty cash or coordinate with Finance
  • Review creditor invoices against requisition forms, obtain approvals, and forward to Finance; work on outstanding LPO lists and follow up with departments
  • Open general job files as required and carry out additional duties assigned by management
